What you'll do
- Manage assigned stages of the recruitment lifecycle, including sourcing, screening, interview coordination, and onboarding documentation support.
- Source candidates through approved job boards, databases, referrals, and outreach channels.
- Screen applicants based on documented role requirements and deal-breaker criteria.
- Maintain active and accurate candidate pipelines for current and future openings.
- Schedule interviews, communicate next steps clearly, and handle candidate and client information with confidentiality and professionalism.
- Serve as the main point of contact for candidates throughout assigned stages of the hiring process.
- Provide timely recruitment updates to clients, leadership, and internal stakeholders.
- Communicate expectations, requirements, and next steps clearly to avoid misalignment.
- Follow up with candidates and stakeholders to keep the process moving efficiently.
- Escalate concerns, delays, or process gaps to leadership as needed.
- Maintain accurate records in the ATS, trackers, and recruitment dashboards.
- Document candidate outcomes, interview feedback, and next steps.
- Prepare End-of-Day (EOD) or shift reports covering pipeline status, interview outcomes, risks, delays, or blockers.
- Ensure recruitment documentation is complete, organized, and updated in a timely manner.
- Follow all data privacy, confidentiality, and compliance standards.
- Work closely with HR, Training, and Client Success teams to align hiring outcomes with business needs.
- Apply feedback from clients and leadership to improve sourcing quality and screening accuracy.
- Support recruitment initiatives and hiring goals using approved strategies.
- Stay organized, responsive, and consistent during high-volume hiring periods.
- Identify process gaps or recurring recruitment challenges and recommend improvements when appropriate.
What they require
- Graduate of a 4-year course or a Bachelor’s degree
- Excellent English communication skills (written and verbal)
- Strong attention to detail, follow-through, and time management
- Ability to work independently while following structured processes and SOPs
- Familiarity with Google Workspace, Microsoft Office, Slack, and similar tools
- Willing to work an 8-hour graveyard shift - PH Time, aligned with U.S. business hours
- Stable internet connection ( Minimum of 100MBPS for Download Speed; Minimum of 50MBPS for Upload speed) and reliable computer equipment (Minimum of Intel Core i5 or equivalent with minimum 8GBs of RAM) - With backup device.
- Preferred (but not required): Prior experience as a Virtual Assistant supporting U.S.-based clients
- Preferred (but not required): Experience using Applicant Tracking Systems (ATS) and online sourcing platforms
- Preferred (but not required): Experience in healthcare support, home care, recruitment, sales, scheduling, or operations
- Preferred (but not required): Ability to adapt across different support functions based on training and performance
- Preferred (but not required): Knowledge of data privacy standards (HIPAA/PHI awareness is a plus)
