Position: Systems Coordinator Working Hours: US Hours (9am-5pm EST) Full-Time, Remote Work. Salary: South African Rand (ZAR) We are looking for a detail-oriented, technically minded coordinator to manage and maintain electronic health record systems. Responsibilities include configuring client accounts, maintaining accurate clinical and administrative data, troubleshooting system issues, and working closely with clinical teams to ensure smooth system adoption and ongoing support. Key Responsibilities Configure, maintain, and manage client accounts within the Electronic Health Record (EHR) system. Set up provider profiles, permissions, templates, and system configurations. Ensure all client, provider, and clinical data is accurate, complete, and maintained in accordance with company standards. Monitor system integrity and perform regular data reviews to ensure accuracy. Collaborate with clinical teams to gather, verify, and input required client and provider information. Support the onboarding of new providers by configuring EHR accounts and ensuring all required documentation is completed. Act as a liaison between clinical staff and internal teams to facilitate smooth system usage. Maintain accurate records within the CRM, EHR, and other practice management systems. Update client profiles, documentation, templates, and system records as required. Ensure all information is entered accurately and in a timely manner. Maintain organized electronic records and supporting documentation. Identify, investigate, and resolve EHR configuration, workflow, and user issues. Provide first-line support to users experiencing system-related challenges. Escalate technical issues where necessary and monitor resolutions. Test new system configurations, workflows, and enhancements before implementation. Identify opportunities to improve workflows and increase operational efficiency within the EHR system. Develop and maintain Standard Operating Procedures (SOPs), user guides, and system documentation. Recommend enhancements to improve user experience and data quality. Ensure all client and clinical information is managed in accordance with HIPAA regulations and company policies. Support quality assurance initiatives through regular data validation and system audits. Maintain confidentiality and security of sensitive client and employee information. Assist with compliance reviews and internal audits to ensure regulatory requirements are met. Requirements Minimum 2–3 years' experience working with Electronic Health Record (EHR) systems in a healthcare environment. Hands-on experience with CentralReach is essential. Previous experience within the healthcare, ABA, behavioural health, or medical administration industry is essential. Strong understanding of EHR configuration, data management, and clinical workflows. Experience setting up and maintaining client and provider records within an EHR system. Experience working with CRM, practice management, or healthcare software platforms. Strong technical troubleshooting and problem-solving skills. Excellent organizational skills with exceptional attention to detail. Ability to manage multiple priorities and work independently. Excellent written and verbal English communication skills. Proficiency in Microsoft Office and Google Workspace. Ability to handle confidential information in accordance with HIPAA and company policies.
