What you'll do

  • Orchestrate end-to-end execution of large-scale initiatives, managing dependencies between writing, design, digital tooling, physical production, service readiness, and teams.
  • Map out and manage high-stakes timelines for large-scale initiatives and keep the team focused on high-leverage work to protect launch dates.
  • Proactively identify project risks and develop and implement mitigations that restore project health.
  • Escalate issues when needed and serve as an escalation point for other teams.
  • Design and lead planning and execution meetings with clear objectives, documented ownership, and follow-through.
  • Work with Supply Chain to manage the Bill of Materials, ensuring physical kit components and digital lesson assets are tracked, QA’d, and ready for launch milestones.
  • Analyze team velocity and capacity.
  • Identify workflow friction points and partner with the Lead to implement process improvements.
  • Look 2–3 quarters ahead to anticipate staffing needs, capacity constraints, and production peaks.
  • Set up vendor and partner agreements.
  • Negotiate statements of work with performance expectations.
  • Hold vendors accountable for deliverables.
  • Evaluate vendor performance and recommend renewals or changes.
  • Serve as the single source of truth for project status.
  • Provide stakeholders with clear, data-backed updates on progress, scope trade-offs, and resource needs.

What they require

  • 5–8+ years of experience with a proven track record of managing complex projects in EdTech, software, or creative publishing.
  • Experience in Agile/Scrum for software development combined with Waterfall/Stage-Gate discipline for print and physical production.
  • Understanding of the challenges of shipping products that live in both a web browser and a student’s backpack.
  • Expert-level proficiency in Smartsheet and experience in similar tools like Monday.com.
  • Ability to build dashboards and trackers that the team relies on.
  • Ability to explain technical software delays to content editors and creative design constraints to writers.
  • Ability to anticipate delays and adapt plans in advance.
  • Ability to lead through logic, relationship-building, and influence without direct authority.
  • Ability to negotiate priorities between competing departments without needing to escalate.
  • Ability to use metrics to prove process improvements and drive further adjustments.
  • Outcomes-oriented approach to meeting quality standards and deadlines.
  • Ability to excel in high-pressure environments and provide structure, clarity, and positivity during crunch time.
  • Systems-thinking approach to automating administrative tasks, identifying patterns across projects, and improving process flows.
  • Background check required if selected for employment.
  • May be required to provide additional documentation, such as proof of vaccination, or submit to enhanced background screening, such as fingerprinting.
