What you'll do
- Performs pre-award duties for complex proposals (program projects, ARPA-H, DOD, DOE) and works with faculty on proposal preparation and submission.
- Manages budgeting, analysis, and justifications for proposals; gathers information for protocols and non-technical proposal components.
- Serves as liaison between Chair, Faculty, and Department Administrators; obtains PI and institutional signatures for proposal submissions.
- Initiates subaward setup through SUBS system and uploads pre-award documents; coordinates with Post-award unit and OSRS for contracts and subcontracts.
- Manages reviews of complex notice of award (NOA), notes special terms and committed effort, and monitors submission of annual agency reports (e.g., RPPRs).
- Coordinates transfer of PI grants and contracts into WashU and oversees transfers out to new institutions or departments.
- Coordinates research compliance items (biosketches, trainee information, human/animal protocol approvals, other support) and ensures protocols are associated with proposals/awards.
- Assists with analysis of online database of grants submitted, awarded, rejected, and organizes alerts for upcoming deadlines for continuation/renewals/progress reports.
- Serves as responsible for closure of complex sponsored projects accounts and submits final progress reports and invention statements.
- Manages and monitors complex sponsored projects budgets, approves purchasing documents, and provides guidance to purchasing staff on grant-specific expenditures.
- Manages subawards including invoice receipt, review, and forwarding to PI for approval; processes correspondence with granting agencies for requests (no-cost extensions, prior approvals, budget reallocations).
- Prepares monthly financial reports on complex research accounts and discusses with PIs and senior leadership.
- Assists senior leadership with special projects and performs other duties as assigned.
What they require
- Bachelor’s degree or combination of education and/or experience may substitute for minimum education.
- Relevant experience (3 Years).
- Ability to perform essential functions with reasonable accommodations as needed.
- May require travel to attend training sessions / seminars.
- Preferred: Knowledge of S2S, Research Management System (RMS) and SUBS system, and agency guidelines.
