About the Role
At Pavago, one of our clients is hiring a highly organized and proactive Sales Assistant to support a fast-moving sales team across CRM management, scheduling, follow-ups, proposals, reporting, and sales operations .
This is not a direct sales role . You’ll work behind the scenes to keep the sales team organized, ensure prospects receive timely communication, maintain accurate CRM data, and prevent opportunities from stalling in the pipeline.
You’ll directly support pipeline movement, deal progression, CRM accuracy, reporting visibility, and overall sales efficiency .

What You’ll Own
CRM Management & Pipeline Support
Maintain accurate CRM records across platforms such as:
Salesforce HubSpot Zoho CRM Pipedrive
Update leads, contacts, opportunities, pipeline stages, and activity notes Identify and clean duplicate, incomplete, or outdated records Maintain strong CRM hygiene and data accuracy Monitor opportunities for missing information or overdue next steps Ensure pipeline activity remains visible to sales representatives and leadership Help prevent opportunities from becoming stale
Scheduling & Sales Coordination
Schedule:
Sales calls Product demos Prospect follow-ups Client meetings
Coordinate calendars across multiple time zones Work with Google Calendar, Outlook, Calendly, and similar scheduling tools Manage confirmations, reminders, rescheduling, and calendar changes Ensure sales representatives have the necessary information and materials before meetings Keep follow-ups and next steps on schedule
Proposal & Sales Document Support
Prepare, format, proofread, and organize:
Proposals Quotes Presentations Sales documents
Support RFP and RFI responses using existing templates and resources Create polished materials using:
Google Slides PowerPoint Canva
Maintain organized documentation and version control Ensure client-facing materials are accurate, consistent, and professional
Reporting & Pipeline Tracking
Prepare weekly and monthly sales reporting Maintain:
Pipeline updates Sales dashboards Activity summaries KPI trackers
Track pipeline activity, conversion metrics, follow-ups, and sales performance Ensure reporting data is complete and accurate Give sales leadership clear visibility into pipeline movement and outstanding actions
Communication & Follow-Ups
Draft professional:
Prospect follow-up emails Meeting summaries Reminders Next-step communications
Support inbound lead routing and prospect coordination Follow up on outstanding actions to keep opportunities moving Maintain timely communication with prospects, clients, and internal stakeholders Escalate urgent or time-sensitive matters appropriately
Cross-Functional Coordination
Collaborate with:

Coordinate internal handoffs and approvals Track task ownership and outstanding requirements Prevent communication gaps and operational delays Support smooth transitions from sales conversations into the next stage of the customer journey
Must-Have Experience & Skills
1–2+ years of experience in:
Sales support Sales operations Administrative coordination Operations support
Hands-on experience with at least one CRM platform such as:
Salesforce HubSpot Zoho CRM Pipedrive
Strong scheduling and calendar management experience Proficiency with Google Workspace and Microsoft Office Strong written English communication skills Excellent organizational and multitasking abilities High attention to detail and accuracy Strong follow-through and task ownership Ability to manage multiple priorities simultaneously Comfortable working independently in a remote environment Availability during U.S. business hours

What a Typical Day Looks Like
You may start your day reviewing CRM records and checking the pipeline for missing information, overdue follow-ups, or upcoming meetings.
From there, you might schedule a sales demo, prepare a proposal, send prospect follow-ups, update a sales dashboard, coordinate an internal handoff, or make sure a sales representative has everything needed for an upcoming call.
Throughout the day, you’ll keep CRM data accurate, follow-ups moving, and sales operations organized.
In short: you keep the sales engine organized, responsive, and operationally efficient so the sales team can focus on building relationships and closing business.
