What you'll do

  • Monitor municipal, state, federal, and private procurement portals to identify relevant RFPs, RFIs, RFQs, cooperative purchasing opportunities, vendor programs, and other bid opportunities.
  • Review each opportunity for fit by evaluating scope, eligibility requirements, deadlines, evaluation criteria, contract terms, and strategic value.
  • Maintain a clear pipeline of open, upcoming, submitted, and awarded opportunities for sales and leadership visibility.
  • Manage procurement portal registrations and company profiles across cities, counties, states, federal agencies, cooperative purchasing networks, and private vendor systems.
  • Complete vendor compliance forms, tax documents, insurance documentation, supplier forms, certifications, and other procurement-related requests.
  • Manage proposal responses from intake through submission: build response timelines, track internal owners, collect inputs, draft responses, coordinate revisions, confirm attachments, and prepare final submissions.
  • Write and edit proposal responses explaining product, value proposition, implementation approach, support model, technical capabilities, reporting, integrations, security practices, and industry experience.
  • Follow up cross-functionally with sales, customer success, product, finance, legal, marketing, and leadership to gather required information and keep proposals moving.
  • Build and maintain a reusable library of approved proposal content (company background, product descriptions, implementation language, security responses, pricing narratives, standard attachments).

What they require

  • 2–5 years of experience in proposal writing, RFP coordination, sales enablement, marketing, business development, procurement support, legal operations, or a related role.
  • Excellent written English with ability to write clearly, professionally, and persuasively.
  • Strong spoken English and comfort communicating with U.S.-based teammates.
  • Strong project management and organizational skills.
  • High attention to detail around deadlines, formatting, compliance requirements, attachments, and submission instructions.
  • Ability to translate technical or operational information into clear business language.
  • Comfort working cross-functionally with sales, marketing, product, customer success, finance, legal, and leadership.
  • Confidence following up with stakeholders and keeping work moving.
  • Good judgment around prioritization, deadlines, and when to escalate issues.
  • Comfort using tools like Google Workspace, Microsoft Office, HubSpot, Notion, procurement portals, and AI-assisted writing tools.
  • Reliable high-speed internet and availability during core U.S. business hours.
  • Must be based in LATAM (contractor).
  • Preferred: Experience responding to municipal, state, federal, or enterprise RFPs.
  • Preferred: Experience working with U.S.-based companies or customers.
  • Preferred: Experience in SaaS, GovTech, vertical SaaS, logistics, transportation, waste, recycling, field services, or public works.
  • Preferred: Familiarity with procurement portals or vendor registration systems.
  • Preferred: Experience managing proposal content libraries or knowledge bases.
  • Preferred: Experience writing technical, security, implementation, or customer support responses.
  • Preferred: Experience with HubSpot, Loopio, RFPIO, GovWin, Bonfire, PlanetBids, BidNet, OpenGov, SAM.gov, or similar tools.
  • Preferred: Legal, paralegal, contract administration, or procurement support experience.
