What you'll do

  • Monitor and track project timelines, milestones, budgets, deliverables, and overall project health across multiple active projects
  • Ensure projects remain on schedule and that internal teams are meeting established deadlines and commitments
  • Proactively identify potential risks, coordination gaps, scope concerns, staffing issues, and client-related challenges before they become larger problems
  • Advise the Principal on project risks and recommended solutions early enough to prevent delays, budget impacts, client dissatisfaction, or project failure
  • Serve as a central point of coordination between designers, consultants, contractors, vendors, and clients
  • Track outstanding decisions, approvals, RFIs, submittals, consultant coordination items, and action items to maintain project momentum
  • Facilitate project meetings, document meeting notes, and ensure follow-up actions are completed
  • Support resource planning and workload coordination across the studio
  • Monitor project progress and team performance to ensure quality and schedule expectations are being met
  • Assist the Principal in evaluating project performance and identifying areas requiring additional support or intervention
  • Perform QA/QC reviews of project drawings, specifications, presentations, and documentation prior to issuance
  • Verify that all deliverables are coordinated internally and externally before release
  • Ensure design intent, material selections, dimensions, notes, schedules, and project information are complete and aligned across documents
  • Review consultant information and coordination packages for completeness and consistency
  • Confirm client approvals have been received and documented before advancing project phases
  • Work closely with designers to identify errors, omissions, inconsistencies, and coordination issues before they impact the project
  • Help establish and maintain internal quality-control procedures and project standards

What they require

  • 3+ years of experience in project management, project coordination, studio management, architecture, interior design, construction, or a related field
  • Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Strong attention to detail and critical-thinking abilities
  • Professional and confident communication with clients, consultants, contractors, and vendors
  • Experience reviewing drawings, project documentation, consultant packages, and coordination deliverables
  • Strong understanding of project workflows, schedules, and design/construction coordination processes
  • Comfortable working in a fast-paced, collaborative, and creative environment
  • Highly proactive, dependable, intuitive, and solution-oriented
