Endless Access is seeking a Program Operations Coordinator, based in Latin America, to be the organizational engine behind our learning programs. This is a hands-on, delivery-focused coordination role. You will keep programs organized and on schedule, make sure the right information and materials are in the right place at the right time, and maintain clean and complete records from setup through closeout. You will work closely with and support our Program Operations Specialist, and you will report to the Director of Learning Programs. Your focus is the coordination and administration that keeps everything moving: scheduling sessions and training, collecting and collating information from partners and learners, issuing access and credentials, and keeping the wider team current on where each program stands. Our model places operations staff close to the regions they serve, embedded in the time zones, languages, and cultural context of the learners and partners we work with. As we grow, you will follow and help document the shared playbook that keeps programs running across regions. What you'll do

  • Map out and maintain program schedules, including session dates, training dates, facilitator and mentor availability, and key milestones, and share them with partners for confirmation.
  • Schedule facilitator and mentor training sessions ahead of each launch, confirming dates with the Learning Rep and all attendees.
  • Coordinate the logistics of internal kickoff calls for first-time programs.
  • Manage session recordings from capture through storage and distribution, so learners, mentors, and colleagues can rely on them being where they need to be.
  • Keep the wider team current with clear, timely status updates and well-maintained trackers.
  • Collect partner assets ahead of launch (logos, photos, primary contacts, and upcoming program dates).
  • Generate and issue platform access codes, and distribute pre-program materials, logins, and technical guides on time.
  • Coordinate localization needs, flagging content that requires translation and routing it to the right people.
  • Confirm final learner enrollment with partners and log accurate headcounts.
  • Support survey setup in Airtable under the Program Operations Specialist's direction.
  • Collect, chase, and compile pre-, mid-, and post-program survey responses, flagging gaps or low response rates for the Program Operations Specialist to review.
  • Keep program records complete and up to date, including attendance and progress tracking.
  • Compile and report program data to the OKR tracker at the agreed milestones.
  • Issue certificates of completion to eligible learners and coordinate microcredential issuance with partner organizations.
  • Prepare clean, well-organized data and records for analysis and debriefs.
  • Send routine partner communications, including first check-ins and next-steps emails, and log them appropriately.
  • Coordinate the logistics of learner interviews and story collection with the marketing team where programs are a fit.
  • Compile and share stories, photos, quotes, and key statistics with the marketing team.
  • Follow the shared operational playbook, and flag where steps are unclear or could be simplified.

What they require

  • Exceptional organization and attention to detail, able to keep many moving parts and multiple programs on track at once without letting things slip.
  • Strong task and time management, comfortable coordinating schedules across time zones and multiple stakeholders.
  • A clear, proactive written communicator, at home in a fully remote, asynchronous, cross-cultural team.
  • Confident with spreadsheets and shared documents (Excel, Google Sheets, Airtable) for tracking, collecting, and collating information.
  • Reliable follow-through: someone who chases missing information, confirms the details, and closes the loop.
  • Comfortable using a project or task management tool (Asana or comparable), and quick to learn new platforms.
  • Some experience coordinating programs, projects, or events, ideally across time zones and stakeholders.
  • Exposure to education, training, or learning delivery, or to working with learners and facilitators.
  • Familiarity with the mechanics of online learning delivery, such as learning platforms, session recordings, and credentialing or badging.
  • Comfort with the technical side of program setup, including access codes, logins, and basic troubleshooting.
  • An interest in games, game making, or creative technology, and in our mission to expand access.
