What you'll do

  • Coordinates new matter intake and matter setup in the firm’s financial system (3E), ensuring required client, matter, billing, and arrangement information is complete and accurately entered.
  • Verifies matter setup requirements, including billing instructions, ABA/LEDES codes, task and phase code requirements, timekeeper access, and required documentation.
  • Reviews intake materials and client or matter arrangement information for completeness, potential administrative conflicts, and billing setup issues; escalates substantive pricing, profitability, AFA, or LPM questions to more senior team members.
  • Maintains matter setup documentation, process checklists, status trackers, internal databases, and Excel files to support consistent Pricing and LPM workflows.
  • Prepares, runs, and distributes standard recurring matter reports, alerts, and notifications using established templates, firm systems, LPM tools, and Excel.
  • Performs initial review of standard reports to identify missing data, unusual variances, budget status items, or setup issues requiring follow-up or escalation.
  • Identifies matters that may require Pricing or LPM support during the intake process.
  • Coordinates with Billing, Accounting, Conflicts, Finance, attorneys, and Pricing & LPM team members to obtain information, resolve setup questions, and maintain accurate matter and arrangement records.
  • Supports updates to billing instructions, task and phase code setup, fee arrangement records, client matter data, and related system information as directed.
  • Assists with basic budget monitoring, matter status reporting, and client or matter data validation under the direction of more senior team members.
  • Supports continuous improvement by documenting recurring issues, maintaining job aids and process documentation, and recommending practical workflow enhancements within established procedures.

What they require

  • The position requires a Bachelor’s Degree.
  • The position requires a minimum of one (1) year of work or educational experience during which the knowledge, skills, and abilities relevant to the position were obtained.
  • Experience in a law firm, professional services, finance, billing, accounting, or project coordination environment is preferred.
  • Strong attention to detail, organizational skills, and ability to maintain accurate data across multiple systems and trackers.
  • Strong basic math skills and ability to review standard reports for completeness, consistency, and apparent variances.
  • Technological aptitude and ability to learn financial, reporting, matter management, and workflow tools.
  • Intermediate knowledge of Microsoft Excel required; experience with large data sets, pivot tables, formulas, and lookups preferred.
  • Ability to communicate clearly and professionally, both orally and in writing, with attorneys, business professionals, and team members.
  • Ability to organize and prioritize work in a dynamic environment, meet deadlines, and follow through on assigned matters and requests.
  • Ability to apply established policies, procedures, and guidance, solve routine problems, and escalate non-routine issues appropriately.
  • Ability to handle sensitive client, matter, financial, and firm information with discretion.
  • Demonstrated ability to provide responsive, professional service requiring tact, courtesy, and sound judgment.
