What you'll do

  • Own the pre-show and post-show checklist for assigned events, keeping deadlines, owners, and status current in Asana and on the events calendar.
  • Manage booth assets, swag, and collateral end to end, including inventory, shipping, tracking, returns, and reorders.
  • Handle vendor and purchasing paperwork, including purchase orders, invoices, vendor onboarding, W-9s, and certificates of insurance, and keep budget trackers accurate.
  • Submit and track Marketing Operations requests for registration pages, pre-show and post-show emails, and Salesforce campaign setup.
  • Format post-show lead lists for handoff to Data Quality and Marketing Operations, and pull registration, attendance, and scan data into the standard post-event report.
  • Coordinate internal attendee logistics such as hotel blocks, badges, registrations, and deadline reminders, and provide onsite support including booth setup, teardown, and day-of coordination.
  • Track deadlines and requirements unique to partner, Networks, and public sector programs, including sponsor commitments, association memberships and renewals, exhibitor and speaker submissions, procurement forms, and compliance documentation.

What they require

  • 0 to 2 years of experience in marketing, events, hospitality, operations, or a related coordination role; internship and campus event experience counts.
  • Strong organizational skills and a track record of owning checklists, trackers, and deadlines with support from a program lead.
  • High attention to detail.
  • Clear, responsive written communication with internal teams and external vendors.
  • Comfort with spreadsheets and a willingness to learn tools such as Salesforce, Marketo, Asana, and event registration platforms.
  • Dependable under pressure, with a calm, practical approach when plans change on show day.
  • Ability to stand and walk for extended periods during show days, and to lift and move event materials up to 40 pounds, with or without reasonable accommodation.
  • Bachelor's degree or equivalent practical experience.
  • Willingness to travel up to 25%, including occasional weekends, early mornings, and late evenings to support events onsite.
  • The applicant must be authorized to receive and access those commodities and technologies controlled under U.S. Export Administration Regulations.
