What you'll do

  • Run weekly invoice intake, payment runs, expense triage, and support payroll.
  • Own the compliance calendar for company filings, per-hire state registrations, insurance renewals, and sponsorship reporting.
  • Build and maintain one place for all compliance deadlines and ensure none slip.
  • Run in-house ops tooling for contract review, document generation, venue sourcing, and automated digests.
  • Contribute to deciding what to automate next once the AI tooling is running steadily.
  • Turn around order forms, partner and reseller packs, NDAs, and e-signature paperwork end to end.
  • Ensure every enterprise deal document is sent within 24 hours and no deal waits on operations.
  • Handle security questionnaires and procurement portals for enterprise customers.
  • Use the AI answer library, fill gaps, get approvals, and meet portal deadlines.
  • Run quarterly offsites for 40–50 people across Europe and the US, plus smaller gatherings.
  • Own AI-driven venue sourcing, contracts, rooming, flights through Navan, swag, dinners, and on-the-day fixes for events.
  • Back up the sales team on POV logistics, scheduling, CRM hygiene, and operational questions from live deals.
  • Write playbooks documenting how Maze operates.
  • Run the ops request queue.

What they require

  • 2–3 years actually running operational processes in startup or scale-up ops, a deal desk, sales ops, legal ops, or finance ops.
  • Experience owning something recurring and high-stakes, keeping it running for a decent stretch, and being able to explain it in detail.
  • Experience working somewhere small, roughly under 200 people, where nobody handed you a playbook.
  • Big-company experience on its own will not carry over.
  • Track record of dull work done well, including a boring process run flawlessly for a year and improved over time.
  • Precision when volume is high; the work is detailed, deadline-driven, and punishes mistakes.
  • Comfortable with AI tools and already using them to do actual work beyond chat, including automations, workflows, or work stopped being done by hand.
  • Good at managing yourself remotely; able to run your own day and communicate in writing without being chased.
  • Safe with sensitive material such as payments, contracts, and personal data.
  • Preferred: B2B SaaS, cybersecurity, or another technical enterprise product experience.
  • Preferred: Events or offsites run end to end, at any size.
  • Preferred: Enterprise procurement experience with security questionnaires, vendor onboarding portals, or TPRM.
