What you'll do

  • Welcome and assist patients in a professional and friendly manner.
  • Answer incoming phone calls, emails, and other patient enquiries.
  • Schedule, reschedule, and confirm patient appointments.
  • Register new patients and ensure all required documentation is completed accurately.
  • Verify patient information and maintain accurate electronic records.
  • Assist patients with completing forms and obtaining any outstanding documentation.
  • Coordinate communication between patients, healthcare providers, and internal departments.
  • Follow up with patients regarding appointments, documentation, and general enquiries.
  • Maintain confidentiality of patient information in accordance with company policies and applicable privacy regulations.
  • Manage clinician calendars and appointment availability.
  • Process referrals and update patient records as required.
  • Respond to patient concerns and escalate complex issues when necessary.
  • Perform general administrative duties including filing, data entry, and document management.
  • Ensure a high standard of customer service is maintained at all times.

What they require

  • Previous experience in a healthcare, medical administration, reception, customer service, or patient-facing role is preferred.
  • Excellent verbal and written communication skills.
  • Confident and professional telephone manner with the ability to build rapport with patients.
  • Strong multitasking skills with the ability to manage a high volume of calls, appointments, and administrative tasks simultaneously.
  • Excellent organisational and time management skills.
  • High attention to detail and accuracy.
  • Strong customer service and problem-solving skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems.
  • Ability to work independently while also collaborating effectively with a team.
  • Professional, compassionate, and patient-focused approach.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Comfortable working in a fast-paced environment and adapting to changing priorities.
  • Working Hours: US Hours (9am-5pm EST)
