About the Role We are looking for a reliable, detail-oriented, and self-sufficient Marketing & Project Operations Assistant to support the owner across two core areas: light marketing and social media, and project coordination in Buildertrend. This is a part-time remote role starting at 15 to 20 hours per week, with real potential to grow toward full-time as the relationship develops. The most important qualities for this role are reliability, strong verbal and written communication, and a high level of attention to detail. This role keeps a lot of moving parts organized — from social media posts and email newsletters to client selections, permits, and project schedules. The right person runs with tasks independently without needing a lot of hand-holding, and takes pride in keeping everything accurate and on track. Key Responsibilities Marketing & Social Media — Light Support The marketing side of this role is straightforward — we need consistency, not complexity. • Schedule and publish social media content across active platforms, keeping the company's online presence active and consistent • Assist with drafting and sending email newsletters to the client and prospect list • Support light content creation and repurposing — helping turn project photos, testimonials, or updates into ready-to-post content • Assist with event planning and promotion as part of the marketing strategy • Monitor posting schedules and flag when content is needed to avoid gaps in the online presence Project Coordination — Buildertrend This is the heavier lift of the two responsibilities and where most hours will be spent. • Manage client selections and procurement tracking in Buildertrend, keeping records current and organized • Keep project schedules and daily logs updated in Buildertrend so the owner and team always have an accurate picture of where each project stands • Update the client portal in Buildertrend with current information, documents, and status updates • Track allowances across active projects and flag discrepancies or overages proactively • Coordinate dumpster orders and track delivery and pickup logistics for active job sites • Pull and track permits — submitting applications, following up on status, and ensuring permits are in hand before work that requires them begins • Help gather and organize subcontractor and vendor quotes, keeping everything organized for easy comparison and decision-making • Monitor outstanding items across active projects and proactively follow up to keep things moving • Serve as an organized, reliable operational resource that keeps the owner on top of what needs attention Qualifications Required • Highly organized with strong attention to detail — accuracy and follow-through are non-negotiable in this role • Strong written communication skills — emails, client portal updates, and social content all need to reflect the professionalism of the brand • Comfortable running tasks independently without waiting to be directed at every step • Reliable and consistent — the owner needs to be able to count on you to get things done on time • Familiarity with social media platforms and basic content scheduling tools • Comfortable learning new software quickly — especially Buildertrend if not already familiar Preferred • Buildertrend experience — a significant advantage; candidates comfortable in Buildertrend will contribute from day one • Prior experience in construction, remodeling, or a related trade industry • Experience with client selections, procurement tracking, or allowance management in a remodeling or construction context • Background in permit coordination and vendor/subcontractor quote management • General marketing and social media experience — light content creation, scheduling, and email newsletter support Growth Potential This role starts part-time, but there is real potential for it to grow. If it is a strong fit and the workload supports it, the owner is open to expanding hours over time — potentially toward a full-time position.
