What you'll do

  • Lifecycle Ownership: Research, compile, and submit multiple state and federal licensure-related applications and forms, managing the process from initial draft through to final measures.
  • Regulatory Research: Conduct research and operational analysis for a variety of compliance and regulatory matters to ensure administrative alignment with federal, state, and local laws.
  • Market Expansion Tracking: Conduct compliance research in new and existing markets on the licensure, renewal, and WIOA Eligible Training Provider List (and other required licensure) application processes.
  • Data Integrity: Enter data and track, manage, and control the entirety of project progress in Salesforce, maintaining absolute currency of records and strict data integrity.
  • Process Mapping: Gather, map, and document historical and active applications and renewals using Salesforce by market/region.
  • Documentation and Resource Project Management: Manage designated compliance documentation projects as directed by the Senior Director, ensuring resources are correctly mapped and maintained.
  • Cross-Functional Coordination: Collaborate closely with cross-functional teams who must provide operational documents or complete forms required for submissions.
  • Agency Interfacing: Actively follow up with state licensing boards and adjust technical applications as needed.
  • Information Security: Handle confidential and sensitive information with judgment and discretion.
  • Meeting Representation: Attend and note project meetings, serve as subject matter expert in external department meetings.
  • Knowledge Sharing: Co-lead a bi-weekly Compliance Office Hour and coordinate quarterly, content-specific internal training calls.
  • Project Planning: Work with Senior Director on planning, scheduling, and coordinating multi-premise compliance projects.
  • Point of Contact: Serve as the operational point of contact within the Compliance Licensing team.
  • Project Leadership: Lead and manage key compliance projects and initiatives, coordinating tasks for Compliance Associates.

  • 8+ years of experience supporting institutional compliance, regulatory filings, or administrative compliance, with at least 3+ years in program management.
  • Master's degree or J.D. preferred
  • Proven handling of full project lifecycle of regulatory submissions.
  • Ability to organize and analyze regulatory data with integrity.
  • Skill for prompt communication via Slack, email, and video meetings.
  • Balance multiple deadlines in a fast-paced environment.
  • High attention to detail and persistence in handling government discretionary.
  • Salesforce CRM (data entry, PR, reporting) proficiency.
  • Excellent documentation skills in Word, Excel, Sheets.
  • Advanced Internet research for state regulations.
  • Independence and self-direction in project execution.
  • Highly organized, detail-oriented planning.
  • Desired: Experience with state licensing bodies and audit preparation.

What they require

  • 8+ years of experience supporting institutional compliance, regulatory filings, or administrative compliance operations (preferably within higher education, workforce development, or heavily government-regulated settings), with at least 3+ years managing a compliance program.
  • Education: Master’s degree or Juris Doctor (JD) preferred.
  • Proven track record of independently managing the full project lifecycle of complex regulatory filings, applications, and institutional renewals.
  • Demonstrated ability to collect, organize, and analyze regulatory data with an absolute commitment to research.
  • Demonstrated ability to practice regular, prompt, and highly effective communication with the Senior Director, team members, and both internal and external support.
  • Proven ability to successfully handle, prioritize, and balance multiple ongoing matters and competing regulatory deadlines.
  • Strong attention to detail and a history of showcasing professional persistence when navigating government bureaucracy via phone and email.
  • Proficiency in Salesforce CRM (specifically data entry, functional, and report generation).
  • Excellent working knowledge of Google Workspace, Adobe Acrobat, and the MS Office Suite (Word, Excel/Sheets).
  • Advanced internet research skills with the capacity to leverage and navigate state regulatory websites.
  • High capacity for self-directed project execution and work independently as a strong individual contributor.
  • Strong problem-solving, interpersonal, and written communication skills.
  • Must be highly organized, detail-oriented, and capable of balancing multiple competing regulatory deadlines in a fast-paced environment.
