What you'll do

  • Schedule, protect, and manage complex, multi-time-zone diaries for partners.
  • Triage inboxes with judgment, surface issues, draft first passes, and chase quiet items.
  • Prepare meeting packs, briefing notes, agendas, and follow-up actions.
  • Manage travel end to end, including flight changes and reconciliation afterwards.
  • Prepare, circulate, and track engagement letters through to signature and return.
  • Write client and prospect correspondence to firm standard.
  • Maintain accurate contact records and CRM entries.
  • Format, version, compare, and prepare execution copies of documents to firm standard.
  • Maintain filing so documents can be found by others.
  • Prompt and chase time capture.
  • Flag billable items, disbursements, and expenses to Finance for processing.
  • Route wider-function work through the Legal Operations intake channel.
  • Work to the team’s published response standards.
  • Use AI first and report faster ways of working when found.
  • Support partners and attorneys to execute on client matters, coordinate with stakeholders across the firm, and help achieve business and client goals.

What they require

  • 5+ years supporting partners, senior fee earners or C-suite executives, ideally in law or professional services.
  • Fluent English, verbal and written.
  • Strong proficiency with MS Office, Aderant or similar practice management software, PowerBI or similar data analytics dashboards, Claude, CoPilot or similar AI tools, Asana or similar project management tools.
  • Excellent organizational and project management skills; able to carry several workstreams without dropping detail.
  • Ability to remain poised under pressure, multitask, and prioritize effectively.
  • Strong team orientation and a preference for collaboration.
  • Experience with a practice management, billing, time-capture or document management system — or evidence you have learned a comparable system quickly.
  • Enough billing literacy to spot what matters.
  • Curious and practical in using AI and technology to improve day-to-day work, streamline processes and support attorneys more efficiently.
  • Hours: US Eastern Time.
