What you'll do

  • Own key aspects of the billing cycle by reviewing time entries for accuracy, capturing billable activities and expenses, preparing invoices, and maintaining consistent accounts receivable follow-up.
  • Monitor day-to-day staff activity and matter workflows, catching errors, missing information, and incomplete steps before they become larger operational issues.
  • Ensure leads are accurately captured, properly tracked, and followed up on promptly, while maintaining clean CRM data and identifying opportunities to improve the intake process.
  • Serve as an operational extension of firm leadership, coordinating administrative priorities, supporting key workflows, and ensuring important follow-up does not fall through the cracks.
  • Build and maintain practical SOPs and repeatable processes that improve consistency, accountability, and efficiency across the firm.

What they require

  • Experience in law firm operations, billing, bookkeeping, or office management is preferred, with an understanding of legal workflows being a strong advantage.
  • Comfortable working in Clio or similar practice management software, CRM systems, spreadsheets, and reporting tools, with the ability to learn new systems quickly.
  • Exceptional attention to detail with the ability to stay on top of multiple workflows, catch inconsistencies, and follow through without frequent reminders.
  • Clear and professional written and spoken English, with confidence communicating with staff, clients, vendors, and insurance providers.
  • Able to spot issues before they become larger problems, take initiative, and find solutions independently without requiring constant direction.
  • Ability to work U.S. hours, with reliable access to necessary technology and demonstrated success working independently in a remote, structured work setting.
