About the Role

At Pavago, one of our clients is hiring an Executive Marketing & Operations Coordinator to support day-to-day execution across marketing, executive operations, content, CRM management, and administrative workflows.

This is a hands-on, execution-focused role for someone who is highly organized, comfortable managing multiple priorities, and confident working across marketing and operational systems.

You’ll work closely with leadership to keep:

Marketing initiatives moving Social media content organized and published GoHighLevel workflows running Leads and follow-ups tracked Executive priorities coordinated Internal systems and documentation organized

What You’ll Own

Executive & Operational Support

Manage calendars, scheduling, and day-to-day executive coordination Track projects, deadlines, tasks, and follow-ups Maintain organized operational trackers and documentation Manage inbox organization and prioritize important communication Coordinate across teams and stakeholders to keep projects moving Ensure important tasks and follow-ups do not fall through the cracks

Social Media & Marketing Execution

Create, schedule, and publish content across:

LinkedIn Facebook Instagram Online communities

You’ll also:

Manage comments, DMs, and community interactions Monitor engagement and audience activity Track basic social media performance metrics Maintain consistent content schedules Support marketing campaigns, launches, and promotional initiatives

GoHighLevel CRM & Email Marketing

Build and manage workflows inside GoHighLevel Set up and maintain:

Email campaigns Follow-up sequences Outreach workflows Lead nurturing automations

Maintain clean and accurate CRM records Update pipeline stages and lead information Track follow-ups and ensure leads receive timely communication Troubleshoot basic CRM and workflow issues

Content & Creative Support

Edit short-form video content for social and marketing channels Create branded graphics and marketing assets Work with tools such as:

Canva Veed OpusClips Similar content-editing platforms

Ensure content remains consistent with brand messaging and visual standards Organize digital assets and content libraries

Program & Community Coordination

Organize digital program and participant materials Support participant onboarding and communication Track member or participant progress Maintain organized program records Respond to routine participant questions and coordinate follow-ups Keep resources accurate, accessible, and up to date

Research & Lead Generation Support

Research Ideal Client Profiles (ICPs) Build prospect and lead lists Organize research into structured spreadsheets and CRM records Support lead-generation and outreach initiatives Maintain accurate prospect information and campaign tracking

Website & Platform Support

Assist with minor website and landing-page updates Support advertising campaign setup Help coordinate platform and account-related tasks Troubleshoot basic system issues and escalate technical problems when necessary

Required Experience & Skills

Previous experience in:

Executive Assistance Marketing Coordination Operations Support Digital Support Similar execution-focused roles

Hands-on experience with GoHighLevel CRM Strong written and verbal English communication skills Proficiency with:

Google Docs Google Sheets Google Drive Google Calendar

Experience managing LinkedIn, Facebook, and Instagram Experience using Canva Familiarity with video-editing tools such as Veed, OpusClips, or similar platforms Strong organizational and multitasking skills Excellent attention to detail and follow-through Ability to work independently in a remote environment Reliable internet connection and professional remote-work setup Ability to work U.S. PST business hours

Nice to Have

Experience supporting founders, coaches, consultants, or entrepreneurial businesses Startup or fast-growth company experience Exposure to lead generation and prospect research Experience with email outreach and nurture campaigns Familiarity with campaign tracking and reporting Experience supporting online communities, programs, or memberships
