We are looking for an exceptionally organized, proactive, and tech-savvy Executive Assistant to support our CEO, executive leadership, and senior team members with a combination of personal and administrative responsibilities. This is much more than a traditional assistant role.

What you'll do

  • Manage calendars, appointments, meetings, and travel arrangements.
  • Coordinate personal and professional schedules for executives.
  • Handle confidential correspondence and communications with discretion.
  • Prepare meeting agendas, presentations, notes, and follow-up action items.
  • Track deadlines, reminders, and ongoing priorities.
  • Assist with personal errands, research, reservations, purchases, and other executive requests.
  • Identify repetitive tasks that can be automated or simplified.
  • Leverage AI tools to improve productivity, documentation, scheduling, research, and communication.
  • Create and maintain simple workflows, templates, and standard operating procedures.

What they require

  • Bachelor's degree in Business Administration or other related field.
  • Minimum 2 years of experience supporting executives, senior leadership, or business owners.
  • Proven experience working remotely for a U.S.-based company is required.
  • Experience supporting a U.S. law firm is an advantage.
  • Outstanding organizational and time management skills.
  • Strong written and verbal English communication skills.
  • High level of discretion when handling confidential information.
  • Comfortable learning and adopting new technology quickly.
  • Experience using project management platforms such as Monday.com, Asana, ClickUp, or similar.
  • Strong interest in AI tools and workflow automation, with the ability to identify opportunities to improve efficiency.
  • Highly resourceful, detail-oriented, and capable of managing multiple priorities independently.
