Job Title: Creative Project Coordinator VA Location: Remote | Time Zone: US (EST–PST)
Role Overview
We're looking for a Creative Project Coordinator VA who can keep creative projects on track, teams aligned, and assets well-organised. You'll sit at the intersection of project management and marketing support — owning timelines, coordinating deliverables, and jumping in on light design production when needed in a fast-moving creative company.
Key Responsibilities
- Manage project workflows in Asana (or similar): task creation, assignment, status updates, and deadline tracking
- Coordinate cross-team handoffs between marketing, design, and operations to keep projects moving
- Maintain organised campaign asset libraries — versioning, naming, and storage in Google Drive
- Support light design production using Canva templates (graphics, resizing, formatting, exports)
- Build and maintain internal documentation: SOPs, project briefs, and onboarding checklists
- Track publish schedules and flag bottlenecks before they become blockers
- Set up and maintain Google Workspace accounts and permissions for team members
Required Qualifications
- Non-negotiable: Prior remote work experience; fluent with remote collaboration tools (Slack, Zoom, Google Workspace, Asana or similar); ideally has supported US or UK-based companies — applications without this experience will not be considered
- Demonstrated project coordination or operations experience in a remote marketing or creative environment
- Confident Asana (or ClickUp/Trello) user — able to build out and manage project boards independently
- Strong Google Workspace knowledge across Drive, Docs, Sheets, and account management
- Canva proficiency for quick-turn creative production
- Highly organised with a systems mindset and strong written communication
Preferred Qualifications
- Experience building SOPs, onboarding workflows, or internal wikis
- Background in a creative agency, studio, or marketing team
- Exposure to Adobe CC or Figma — even basic familiarity is a plus
- Comfort with social content ops and scheduling tools
Tools & Technology
Google Workspace, Slack, Zoom, Asana / ClickUp / Trello, Canva, Figma (nice-to-have), Adobe CC (nice-to-have), Meta Business Suite (nice-to-have)
