What you'll do

  • Support the VP of Compliance & Safety on compliance, legal operations, regulatory, contractual, and risk matters.
  • Prepare information and materials for the VP; communicate with outside counsel only when authorized.
  • Conduct compliance and regulatory research and prepare written summaries for the VP.
  • Help develop and maintain company policies, procedures, compliance programs, and internal controls.
  • Assist with escalated customer complaints, disputes, demand letters, attorney correspondence, and matters carrying legal, financial, or regulatory exposure.
  • Conduct fact-finding: gather contracts, communications, photos, recordings, policies, timelines, and related records.
  • Prepare matter summaries and supporting documentation for VP review.
  • Review documents for completeness, consistency, and company requirements, and escalate issues as needed.
  • Maintain tracking systems for legal matters, disputes, claims, regulatory issues, investigations, and deadlines.
  • Support outside-counsel matters by preparing materials, tracking requests and deadlines, and organizing case files (direct counsel contact only when authorized).
  • Assist with contract administration: intake, templates, amendments, signature routing, renewals, and records maintenance.
  • Draft routine business correspondence, notices, and responses for review and approval.
  • Assist with regulatory and governmental inquiries, subpoenas, and investigations by gathering information and preparing responsive materials.
  • Support internal investigations involving compliance concerns, policy violations, or potential misconduct.
  • Work cross-functionally with Operations, Sales, Finance, HR, Safety, Licensing, Permitting, and other departments.
  • Identify and promptly escalate compliance, contractual, operational, reputational, or legal risks.
  • Maintain strict confidentiality regarding legal matters, investigations, and sensitive company information.

What they require

  • Role boundaries: this is NOT an attorney position; the Specialist does not provide legal advice, interpret the law for the Company, or independently engage outside counsel.
  • Minimum 2 years in legal operations, compliance, corporate legal support, contracts, regulatory affairs, claims, investigations, or a closely related field.
  • Strong research, analytical, writing, and documentation skills in professional written English.
  • Excellent organization with proven ability to carry multiple open matters and competing deadlines without being chased.
  • High attention to detail, professionalism, discretion, and confidentiality.
  • Ability to work effectively with senior leadership and cross-functional teams.
  • Reliable home office setup, stable high-speed internet, and availability during US Eastern business hours.
  • Preferred: roofing, construction, home improvement, or general contracting experience.
  • Preferred: experience with escalated disputes, contracts, investigations, regulatory matters, or litigation support.
  • Preferred: direct experience supporting a US-based company or US-based clients; exposure to multi-state operations or multi-entity/multi-brand corporate structure.
  • Preferred: paralegal certificate, compliance certification, or equivalent formal training (helpful, not required).
  • Tools & software: matter/claim/case tracking systems (any platform or well-built tracker), contract intake/template control/e-signature routing, Microsoft 365 (Word, Excel, Outlook, Teams), OneDrive, document and records management for large document/photo/recording sets, Hubstaff for time tracking.
