What you'll do

  • Provide day-to-day operations and administrative support for one or more registered representatives.
  • Answer inbound calls and email requests.
  • Schedule and gather client data for ongoing service processes.
  • Ensure all paperwork and procedures for client requests are completed and adhere to compliance requirements.
  • Coordinate with internal operation departments to ensure client requests are fulfilled.
  • Manage client deposits.
  • Maintain data integrity across all systems and update as necessary.
  • Research client issues in cooperation with back-office operation partners.
  • Onboard new clients.
  • Process transfer paperwork.
  • Set up new accounts while coordinating with the brokerage service team, custodians, and Black Diamond.
  • Perform other duties as needed.
  • Directly support and maintain client account operations.
  • Gather information to answer client questions.
  • Partner with others to maintain client relationships through responsive, proactive client service.
  • Serve as the primary point of operational contact for clients and brokerage teams.
  • Resolve and manage solutions for client concerns and issues.
  • Proactively engage with internal and external clients to exceed expectations.
  • Coordinate internal resources needed to deliver high quality work on a timely basis.
  • Quality control own work.
  • Assist with training and mentor new employees as needed.
  • Identify or suggest process improvements.
  • Represent the firm in a professional manner.
  • Support meeting KPI goals.

What they require

  • High School diploma required.
  • Bachelor’s degree highly preferred.
  • 2–3 years of job-related experience required.
  • Financial services industry experience required.
  • Prior experience working in an office environment with a customer service focus helpful.
  • Notary designation a plus.
  • FINRA Series 7 preferred, but can be obtained within 18 months after start.
  • Ability to prioritize in a fast-paced environment while maintaining client focus and attention to detail.
  • Enjoy collaborating and building positive relationships internally with co-workers and externally with clients and business vendors.
  • Excellent verbal and written communications skills required.
  • Strong MS Word, Excel, and Outlook skills required.
  • Preferred: prior use of CRM system Junxure.
  • Strong desire for continuous self-learning and professional growth.
  • Core knowledge of the industry.
  • Working knowledge of the economic landscape and impact on the firm and clients.
  • Seasoned working knowledge of data and financial metrics relevant to the job.
  • Strong working and core knowledge of Broker-Dealer Office Operations and relationship to other firm operational groups.
  • Foundational to strong understanding of Junxure.
  • Able to effectively navigate core technology including Microsoft Office, Laserfiche, custodian sites, task management tools, DocuSign, and more at an expert level.
  • Some knowledge and continued development of Black Diamond and assisting with ad hoc reporting requests.
  • Foundational knowledge of compliance as relates to job tasks and growing working understanding of compliance requirements.
  • Learning the basics of account operations and beginning to execute related tasks.
  • Able to facilitate brokerage offerings and process change requests.
  • Practice teamwork and collaboration within and beyond the assigned team.
  • Contribute to a positive work environment and build appropriate rapport with other team members.
