What you'll do

  • Build a high-quality commercial maintenance sales pipeline and help turn that pipeline into signed contracts.
  • Identify prospects, research properties, find decision makers, track bid cycles, coordinate with onsite sales and estimating, and make sure proposals are delivered within 72 hours or less after a quote request whenever possible.
  • Build targeted prospect lists by property type, location, ownership group, and management company.
  • Identify commercial properties that are strong fits for maintenance contracts.
  • Research property managers, owners, facility managers, HOA boards, asset managers, and other decision makers.
  • Find email addresses, phone numbers, LinkedIn profiles, company websites, and other contact information.
  • Track current vendors when possible.
  • Identify when contracts are likely to renew or go out to bid.
  • Find RFPs, bid opportunities, public notices, property management contacts, and local commercial development activity.
  • Add clean, accurate information into our CRM or tracking system.
  • Find the actual humans who can make or influence decisions.
  • Identify property managers, regional property managers, HOA managers, facilities directors, operations managers, asset managers, commercial real estate owners, developers, general managers, office managers for commercial properties, and municipal or institutional purchasing contacts when relevant.
  • Keep digging when you cannot find the decision maker.
  • Drive outbound outreach and follow-up through email, phone, LinkedIn, CRM tasks, and coordination with the onsite team.
  • Send professional outbound messages.
  • Make follow-up calls or coordinate calls when needed.
  • Track every touchpoint.
  • Follow up aggressively without being weird or annoying.
  • Build multi-touch outreach sequences.
  • Keep prospects warm before bid season.
  • Re-engage old prospects.
  • Follow up after quotes are sent.
  • Help move deals from prospect to lead to quote to closed/won or closed/lost.
  • Coordinate with onsite sales, field leadership, and estimators to make sure proposals are completed and delivered quickly.
  • Help ensure all requested proposals are delivered within 72 hours or less whenever possible.
  • Log quote requests immediately.
  • Confirm property details.
  • Gather photos, maps, measurements, notes, service scope, and client expectations.
  • Coordinate with onsite sales or estimators for site review.
  • Track who owns the estimate.
  • Follow up until the proposal is completed.
  • Confirm the proposal was sent.
  • Schedule follow-up after delivery.
  • Track quote status in the CRM.
  • Track estimate ownership until delivery.
  • Build a system where the company proactively quotes strong-fit commercial properties before they ask.
  • Identify properties that fit the ideal customer profile.
  • Research the property and likely decision maker.
  • Coordinate with the estimator or onsite team to create a maintenance quote or property review.
  • Help prepare a professional “we already looked at your property” style outreach.
  • Send or coordinate the delivery of cold quotes.
  • Coordinate with the onsite cold caller for drop-offs and site visits.
  • Track follow-up until getting a conversation, a no, or a future bid date.
  • Build a repeatable system that produces cold quotes every week.
  • Coordinate with onsite salespeople.
  • Coordinate with estimators.

  • Provide property lists for in-person visits.
  • Prepare call/drop-off notes.

  • Pursue 15+ meaningful responses, conversations, bid cycle updates, or next-step confirmations per week.
  • Identify 10+ quote opportunities, bid cycle dates, or future proposal targets per week.
  • Prepare 7+ cold quote targets per week.
  • Coordinate 3+ cold quote packages per week.
  • Track 100% of requested proposals until delivery.
  • Follow up on 100% of requested proposals after delivery.
  • Complete a weekly sales pipeline report every week.
  • Learn the services, ideal customer profile, property types, market, and sales process in the first 30 days.
  • Build or clean the starting CRM pipeline in the first 30 days.
  • Identify at least 300 qualified commercial prospects in the first 30 days.
  • Identify at least 125 decision makers in the first 30 days.
  • Build a bid cycle tracking system in the first 30 days.
  • Start outreach and follow-up sequences in the first 30 days.
  • Coordinate first cold quote targets with the onsite team in the first 30 days.
  • Produce a weekly pipeline report leadership can actually use in the first 30 days.
  • Add at least 600 qualified prospects to the pipeline by the end of the first 60 days.
  • Identify at least 250 decision makers by the end of the first 60 days.
  • Build a clear follow-up system by property type, property manager, and bid cycle by the end of the first 60 days.
  • Coordinate at least 20 cold quote targets by the end of the first 60 days.
  • Help produce at least 10 cold quote packages by the end of the first 60 days.
  • Identify at least 20 quote opportunities, bid cycle dates, or future proposal targets by the end of the first 60 days.
  • Create consistent weekly reporting around outreach, quotes, follow-up, and next steps by the end of the first 60 days.
  • Add at least 900 qualified prospects to the pipeline by the end of the first 90 days.
  • Identify at least 400 decision makers by the end of the first 90 days.
  • Help generate at least 40 quote opportunities, bid cycle dates, or future proposal targets by the end of the first 90 days.
  • Coordinate at least 30 cold quote packages by the end of the first 90 days.
  • Build a repeatable outbound follow-up system by the end of the first 90 days.
  • Help create a clear commercial maintenance sales pipeline the company can scale.

What they require

  • Comfortable learning and using tools like Google Workspace, Google Sheets, CRM systems, HubSpot, Pipedrive, Monday.com, ClickUp, Jobber, Aspire, LMN, Service Autopilot, or similar platforms, LinkedIn, Apollo, ZoomInfo, Seamless, or similar prospecting tools, Google Maps, county property records, commercial real estate websites, property management company websites, email sequencing tools, Loom or video update tools, Slack / WhatsApp / internal messaging tools, Zoom / Google Meet.
