What you'll do

  • Maintain and update legal and regulatory records within HighQ, ensuring accuracy and completeness.
  • Prepare and organize List Case Activities (LCA) worksheets, summaries, evidence, and supporting documentation.
  • Manage and maintain Legal shared drives with consistent naming conventions and version control.
  • Coordinate intake and documentation for new complaints with Complaint Management.
  • Support handling of escalated and regulatory complaints, preparing case files and tracking milestones and timelines.
  • Coordinate preparation and issuance of consumer response letters and support draft development.
  • Participate in Complaint Management meetings and support coordination between Legal and operational teams.
  • Track and maintain hearings, mediations, regulatory deadlines, limitation periods, and key milestones in the legal calendar.
  • Maintain organized tracking tools and assist with prioritization of time-sensitive activities.
  • Support development and maintenance of the Legal Knowledge Center, organizing templates, playbooks, and guidance.
  • Document processes, workflows, and lessons learned from regulatory matters to support continuous improvement.
  • Prepare meeting materials and support logistics for Legal and regulatory discussions.
  • Handle confidential, sensitive, and privileged information with professionalism and discretion.

What they require

  • Paralegal diploma or equivalent legal training.
  • Two (2) to four (4) years of relevant experience in a legal, regulatory, or compliance environment (preferred).
  • Experience in a highly regulated industry (financial services, credit reporting, privacy) is an asset.
  • Bilingual in both English and French (written and spoken).
  • Strong proficiency in Microsoft Office Suite (especially Excel and PowerPoint).
  • Strong organizational skills with the ability to manage multiple files and deadlines simultaneously.
  • Strong attention to detail and ability to work in a fast-paced, regulated environment.
  • Effective communication and collaboration skills.
  • High level of integrity and professionalism in handling privileged and sensitive information.
  • Strong ethical judgment and discretion.
