What you'll do

  • Oversee corporate aircraft scheduling and operational coordination for executive and business travel.
  • Assign corporate aircraft and crew to meet domestic and international travel requirements of senior executives and talent.
  • Monitor daily fleet operations and re-allocate aviation resources in response to weather, mechanical issues, and schedule changes.
  • Communicate schedule updates to pilots, executive assistants, mechanics, support personnel, and vendors.
  • Arrange/coordinate crew ground transportation and hotel accommodations and any commercial airline arrangements.
  • Coordinate passenger logistics including catering and ground transportation contact information.
  • Ensure ground handling, landing/departure slots, and landing permits are in order before departures.
  • Research and source charter aircraft when required to meet mission, availability, price, and safety requirements.
  • Document and maintain records for internal audit, charge-back, and tax reporting.
  • Work with corporate staff to schedule air travel for large group functions (board meetings, retreats, press events, award shows, conventions).
  • Obtain, maintain, and renew international travel documents and visas for flight crews.

What they require

  • Strong proficiency in aviation scheduling and dispatch practices within corporate or Part 91/135 environments.
  • Advanced planning and scheduling skills with real-time schedule updates for operational environments.
  • Excellent communication skills and customer-service mindset with executives, flight crews, vendors, and internal partners.
  • Strong organizational skills, attention to detail, and ability to manage multiple concurrent trips in a 24/7 setting.
  • Proficiency with scheduling and office productivity software; ability to learn new tools and systems.
  • Ability to work non-standard hours including evenings, weekends, holidays, and on-call coverage.
  • Demonstrated ability to solve complex problems and influence stakeholders.
  • Collaborative, team-oriented mindset with ability to mentor others.
  • 5+ years of relevant professional experience in aviation scheduling, dispatch, or complex operational planning roles.
  • High School Diploma required; Bachelor’s degree preferred.
