What you'll do

  • Support the day-to-day operations of residential, commercial, or mixed-use properties.
  • Serve as the right hand to the Property Manager, ensuring tenants receive timely support, vendors stay coordinated, records remain accurate, and property operations run smoothly.
  • Serve as the first point of contact for tenant questions regarding rent and payments, lease terms, property policies, and maintenance requests.
  • Respond professionally and promptly to tenant concerns.
  • Document tenant interactions within AppFolio, Yardi, Buildium, or similar systems.
  • Manage communication for move-ins, move-outs, and lease renewals.
  • Escalate complex issues to the Property Manager when appropriate.
  • Draft and process new leases, lease amendments, and renewals.
  • Manage signatures and documentation through DocuSign, Dotloop, or similar platforms.
  • Pre-screen prospective tenants.
  • Schedule property showings.
  • Collect and organize rental applications.
  • Ensure leasing documentation is complete and processed on time.
  • Support property marketing across Zillow, Apartments.com, Craigslist, and MLS syndication platforms.
  • Track rent payments and outstanding balances.
  • Apply late fees according to property policies.
  • Follow up professionally on delinquent accounts.
  • Prepare weekly delinquency reports.
  • Assist with monthly owner statements.
  • Record and reconcile deposits, refunds, and security deposits.
  • Maintain accurate financial records within property management systems.
  • Create and manage maintenance work orders.
  • Coordinate scheduling between tenants and vendors.
  • Track maintenance requests from submission through completion.
  • Keep tenants updated on maintenance status.
  • Follow up with vendors to prevent delays.
  • Confirm work has been completed satisfactorily.
  • Verify vendor invoices against completed work before routing them for approval.
  • Help ensure maintenance requests are resolved within established SLA timelines.
  • Maintain complete and organized tenant files, including leases, notices, inspection records, applications, and compliance documents.
  • Ensure documentation remains accurate and audit-ready.
  • Support adherence to Fair Housing requirements, local landlord-tenant laws, and internal property management policies.
  • Track important lease, renewal, and compliance deadlines.
  • Support Property Managers with portfolio-level reporting.
  • Track occupancy, vacancy, turnover, leasing activity, rent collection, and maintenance performance.
  • Assist with owner reporting and operational updates.
  • Handle administrative projects and ad hoc property-management requests.
  • Keep property systems current and organized.
  • Respond to tenant inquiries and maintenance requests.
  • Update tenant interactions in AppFolio, Yardi, or Buildium.
  • Process leases and renewals.
  • Track rent payments and follow up on delinquencies.
  • Schedule vendors and monitor open work orders.
  • Confirm maintenance completion with tenants.
  • Review vendor invoices.
  • Update occupancy and leasing trackers.
  • Organize tenant and compliance documentation.
  • Prepare reports for Property Managers and owners.
  • Keep tenants supported, vendors coordinated, leases and records accurate, and day-to-day property operations moving efficiently.

What they require

  • 2+ years of experience in Property Management, Real Estate Operations, Leasing Administration, or similar property operations roles.
  • Hands-on experience with property management software such as AppFolio, Yardi, Buildium, or similar platforms.
  • Familiarity with lease agreements and leasing workflows.
  • Understanding of tenant communication and rent collection processes.
  • Familiarity with Fair Housing and landlord-tenant regulations.
  • Strong Microsoft Office and Google Workspace skills.
  • Excellent written and verbal English communication.
  • Strong organizational and multitasking skills.
  • Ability to work independently during U.S. business hours.
  • Preferred: Experience supporting portfolios of 100+ units.
  • Preferred: Experience with residential, commercial, or mixed-use properties.
  • Preferred: Familiarity with multi-state landlord-tenant requirements.
  • Preferred: Exposure to property accounting, owner statements, security deposits, and financial reporting.
  • Preferred: Experience coordinating multiple vendors and maintenance requests.
  • Preferred: Strong knowledge of leasing and property-management workflows.
  • Communicate confidently and professionally with tenants, vendors, and owners.
  • Can manage multiple properties, requests, and deadlines simultaneously.
  • Stay organized even when priorities change quickly.
  • Balance tenant experience with operational and business requirements.
  • Follow through until issues are fully resolved.
  • Pay close attention to lease, financial, and compliance details.
  • Proactively identify problems instead of waiting for them to escalate.
  • Take ownership of day-to-day property operations.
  • Have hands-on property management experience.
  • Know AppFolio, Yardi, Buildium, or similar systems.
  • Are comfortable communicating directly with tenants and vendors.
  • Can manage leases, rent collection, maintenance, and documentation.
  • Thrive in fast-paced, detail-oriented property environments.
