What you'll do

  • Manage and maintain CRM records, contact segments, tags, workflows and automated supporter journeys, ensuring accurate and consistent data.
  • Implement approved email, newsletter and digital fundraising campaigns, including audience segmentation, donation pages, forms and supporter communications.
  • Maintain and update website content, social media campaigns and digital assets using existing templates and approved content.
  • Test campaigns, forms, links, automations and supporter journeys, troubleshoot issues and escalate complex technical matters when required.
  • Work with the Business Manager and external marketing agency to implement new digital marketing systems and progressively take ownership of routine management.
  • Identify opportunities to improve, streamline or automate repetitive marketing and CRM processes.
  • Provide day-to-day administrative support, including managing routine enquiries, preparing documents, maintaining spreadsheets, trackers and electronic records.
  • Coordinate meetings, schedules, follow-ups and general administrative activities across the organisation.
  • Maintain organised filing and document management systems across relevant platforms, including Microsoft 365, SharePoint and Dropbox.
  • Support donor and supporter administration, including enquiries, records, receipts and communication preferences.
  • Assist with finance administration, including invoices, expenses, payment tracking, Xero records and reconciliation preparation.
  • Support the Business Manager with special projects and changing organisational priorities, ensuring tasks are followed through to completion.
  • Assist with Board and governance administration, including meeting papers, minutes, action registers, records and compliance documentation.
  • Maintain project workplans, trackers, deadlines and action items, ensuring records remain accurate and up to date.
  • Assist with reports, presentations, research-related administration and other organisational documentation as required.
  • Develop and maintain simple SOPs, checklists, templates and workflow documentation.
  • Utilise CRM and fundraising platforms to manage supporter records, campaigns and communications.
  • Use Microsoft 365, Google Workspace and Xero for administration, documentation and finance support.
  • Manage website, social media and creative content using platforms such as Framer, Canva and Meta Business Suite.
  • Use communication and collaboration tools including Zoom, Microsoft Teams and relevant project/file management platforms.
  • Leverage automation and AI tools, such as Zapier and ChatGPT, to streamline workflows and improve efficiency.

What they require

  • 2–4 years of relevant experience across digital marketing, CRM administration, email marketing, digital campaigns, fundraising and/or business administration, with genuine hands-on experience using digital systems.
  • Strong digital confidence and self-directed learning ability, with the initiative to research, learn new tools, troubleshoot straightforward issues and build knowledge independently before escalating.
  • Highly organised, accurate and detail-oriented, with the ability to manage competing priorities, follow workplans and procedures, and take ownership of tasks through to completion.
  • Strong problem-solving and process improvement mindset, with the ability to identify errors, investigate issues, suggest practical improvements and recognise when matters need to be escalated.
  • Confident working across CRM databases, spreadsheets, structured data and multiple digital platforms, with experience in CRM workflows, segmentation, email marketing, digital fundraising, website/CMS or automation highly regarded.
  • Strong written communication and professional English, with a professional and discreet approach to handling donor, financial and organisational information.
  • Experience with Canva, Meta Business Suite, Zapier, Xero or similar tools, and exposure to not-for-profit, fundraising, governance or purpose-driven environments, would be advantageous.
  • Genuine interest in animal welfare, research or purpose-driven work, with an appreciation for the organisation's mission and audiences.
